Handset/Headset Setup

The following instructions explain how to setup the default preference when the hands-free key is pressed on the Aastra 6757i & 57i and Aastra 480i telephone sets.

To configure Handset/Headset on the Aastra 6757i & 57i phone:

  • Press the Options button
  • Using the cursor pad, scroll to Preferences (option 2) and press the Select button
  • Using the cursor pad, scroll to Set Audio (option 5) and press the Select button
  • Using the cursor pad, scroll to Audio Mode (option 1) and press the Select button
  • After selecting your audio mode using the cursor pad, press Done
  • To set the Headset Mic Volume scroll to option 2.
Audio ModeDescription
Speaker Only the speakerphone will be activated when the handsfree keyhands-free key is pressed
Headset Only the Headset will be activated when the handsfree keyhands-free key is pressed

To configure Handset/Headset on the Aastra 480i phone:

  • Press the Options button
  • Scroll to Set Audio (option number 7) and press Show to enter the menu
  • Select one of the audio modes (below) by pressing Up/Down/Change

  • To set the Headset Mic Volume, press the Advanced soft key.

Aastra 480i Options

The Options feature allows you to change specific settings for your Aastra 480i phone.

Language Selection

To change the language selection:

  • Press or the Options button
  • Scroll to Language (option number 1) and press Show to enter the menu
  • Press the Change button to scroll through the different languages
    (the available languages are English, French, and Spanish)

Time and Date Settings

Your phone automatically synchronizes the time and date with a Time Server so you do not need to change these settings.

Tone Selection

To select a different tone:

  • Press or the Options button
  • Scroll to Tones (option number 3) and press Show to enter the menu
  • Select Option 1 to set ring tone
  • Press Change to change the ring tone. The tone will ring to give you a sample of what the ring sounds like
  • Press the *** keys to make the ring louder or softer
  • Select Option 2 to dialing tones
  • Select the tones corresponding to the country that you are using the phone in.

Clear Message Waiting

To clear the message waiting lamp:

  • Press or the Options button
  • Scroll to Clear Msg. Wtg. (option number 4) and press Show to enter the menu
  • Press the Clear button to clear the lamp.

Screen Contrast Level Adjustment

To adjust the contrast level of the screen:

  • Press or the Options button
  • Scroll to Contrast Level (option number 5) and press Show to enter the menu
  • Press the Change button to change it to your desired contrast level.

Live Dialpad Option

When this option is turned on, the phone automatically starts a hands free call when you begin dialing a number. When off, you must either press the hands free key, lift up the handset or press the Dial soft key to dial the number.

To enable or disable the live dialpad option:

  • Press or the Options button
  • Scroll to Live Dialpad (option number 6) and press Show to enter the menu
  • Press the Change soft key to change the option to ON or OFF

 

Restarting the Phone

Occasionally, a VoIP telephone will require a restart.

To restart an 6757i & 57i phone:

  • Press the Options button
  • Using the cursor pad scroll to Restart Phone (option 6) and press the Select button
  • Press the Restart button to restart the phone.

The phone will now restart (this may take several minutes).

Do NOT unplug the phone during the restart.

To restart an Aastra 480i phone:

  • Press key or the Options button
  • Scroll to Phone Status (option number 11) and press Show to enter the menu
  • Scroll to Restart Phone (option number 3) and press Show to begin the restart process
  • Press Restart to restart the phone.

The phone will now restart (this may take several minutes)

Do NOT unplug the phone during the restart.

Part of this assistance includes providing VoIP softphone services to staff in Doha so they can contact Calgary local numbers without incurring long distance telephone charges.

Voip Voicemail Web Utility

The following article gives instructions on how to use the VoIP Voicemail Web Utility for accessing and managing your campus VoIP telephone messages. 

 

 

Logging In

To use the VoIP Voicemail Web Utility, login via a webpage using the same phone number and password that you use to access voicemail on your VoIP telephone.

To login to the VoIP Voicemail web utility:

  1. Start a web browser (e.g. Firefox)
  2. Go to https://voicesip.ucalgary.ca/

3.  In the Mailbox field, enter your 7 digit VoIP telephone number (e.g. 220-5555)
4.  In the Password field, enter your VOIP password
5.  Click the Login button

The main VoIP Voicemail webpage will then appear displaying your messages (if any) in your inbox.

 

Selecting Messages

VOIP Voicemail allows you to select all the messages in the current folder.

To select some of your messages:

  • In the Message column, click the box of the messages you want to selet.

To select all of your messages:

  • Click the Select All button in the yellow navigator pane.

Once selected, you can then move the messages to another folder or delete them.

 

Moving Messages

VoIP Voicemail Web Utility allows you to move and organize your messages by storing them in folders. By default, messages open in the inbox folder. Once a message has been moved to a folder, it will no longer open in the inbox.

To move a message to a different folder:

  1. Click the box beside the message you would like to move to another folder
  2. Click the drop-down box to the right of the Move button
  3. Select the folder you want to save the message to

4.  Click Move

 

 

Changing Folders

To change folders:

  1. Click the drop-down box to the right of the Go To button
  2. Select the folder you want to go to

3.  Click Go To

The contents of that folder will then be displayed in the window.

 

Playing Messages

VoIP Voicemail Web Utility allows you to listen to your messages online.

To listen to a voicemail message:

  1. Click on the phone number of the message you wish to listen to
  2. Select your desired audio format for listening to the message (if this is your first time listening to a message)
  3. The message window will appear:

4.  Click the play button on the slider bar to listen to the message.

 

Downloading Messages

VoIP Voicemail Web Utility allows you to download your voicemail messages to your computer's desktop.

To download a voicemail message:

  1. Click on the phone number of the message you wish to listen to
  2. Select your desired audio format for listening to the message (if this is your first time listening to a message)
  3. A new window will appear:

4.  Click the Download button to download the message to your desktop.

 

Forwarding Messages

VoIP Voicemail Web Utility allows you to forward voicemail messages directly to other University of Calgary VoIP voicemail users who can then access the message through their phone or online. You can also email your voicemail messages to other users.

To forward a message to another campus VoIP user:

  1. Click on the phone number of the message you would like to forward
  2. Click the drop-down box to the right of the Forward To button
  3. Select the VoIP phone number you would like to forward the message to

4.  Click Forward To

 

To email a message to other users:

  1. Download the message to your desktop
  2. Start your email client or visit the online Webmail portal
  3. Open a new message
  4. Attach the downloaded audio file as an attachment to the message
  5. Send the message.

The attached audio file will then be delivered to the other users.

 

Deleting Messages

VoIP Voicemail Web Utility allows you to delete some or all of your voicemail messages online.

To delete a single voicemail message:

  1. In the Message column, click the box of the message you want to delete
  2. Click the Delete button

(You can also delete the message in the message window by clicking the Delete button)

To delete multiple messages:

  1. In the Message column, click the box of the messages you want to delete
  2. Click the Delete button

To delete all messages:

  1. Click the Select All button
  2. Click the Delete button

Note: Deleting is permanent. Once a message is deleted, it cannot be retrieved again.


Changing Audio Preferences

The Audio Format button allows you to specify the preferred audio format of your voicemail messages. The first time you use VoIP Voicemail Web Utility, no format is selected. You will be prompted to select an audio format before you can listen to any messages.

Uncompressed WAV is the most commonly used format. If you wish to have smaller file sizes, select Compressed WAV. If you wish to play your messages on a GSM device, select Raw GSM Audio.

To change your audio preference:

  1. Click on the phone number of any message
  2. The message window will appear:

3.  Click the Audio Format button

4.  Click the radio button of the format you want
5.  Click the save settings... button

Your selection will now be used as the default audio format for all messages

What is Caller ID?

Caller ID (or, more accurately, caller number identification) is a telephone service that displays the caller's phone number on a recipient telephone. Most telephone calls made from campus telephone now has Caller ID enabled by default. Caller ID pertains only to outgoing calls on campus.

What is Calling Number Display?

Calling Number Display (CND) pertains to incoming calls on campus. You need a campus telephone set capable of displaying Caller ID information and a subscription to CND to see the number of the person calling you.

How is it used?

Caller ID lets call recipients see who is calling before they answer the phone. Call display enables you to screen calls, avoid interruptions, and ignore unwanted calls. Some telephone sets also record the details of missed calls allowing you to call them back later.

Why was it added?

Call Display on telephones has been available to the general public for some time. Upgrades to the carrier network and campus systems in 2008 allowed this service to be implemented at the University of Calgary. This service also promotes an area of UofC emphasis which is "openness in decision-making and communication."

Caller ID was introduced on campus because of demand. Many customers felt that their outgoing calls are not being answered due to the receiver thinking the calls were from telemarketers because campus calls were not displaying a number. Now the local community can see who is calling. With the Calling Number Display service, campus users can also see the number of the party calling them.

Call Displays

Caller ID has been enabled for all campus telephones. This means that your campus telephone number will show on the receiver’s call display every time you make a call.

Previously off-campus telephones displayed "Unavailable" or "Restricted" or "Private Number" (depending on the service provider) when a call was received from a campus telephone. Caller ID now displays "Unknown Name + Your Phone Number" on outgoing calls.

Incoming calls to a campus phone will display the outside party's calling number if you subscribe to CND.

Blocking Caller ID

If you do not want your number to be displayed, you can use *67 to block Caller ID on a per-call basis for both off-campus and on-campus numbers. There is no charge for using *67; it is free.

To block Caller ID, first dial *67. You will then hear 3 beeps and then the dial tone. When you hear the dial tone, dial the number you want to call. The actual text displayed to the person receiving the call will depend upon the telephone service they use.  Some services display no text or a non-descriptive phrase such as Unknown Caller or Private Number.

Please note that *67 is presently not available on campus Voice-over-IP (VoIP) telephones.

Getting Calling Number Display

If you wish to have a call display on your campus phone, you will need to apply for a CND subscription and have a telephone set or device capable of displaying Caller ID information.

Some analog telephones supplied by IT Voice Services do not support call display. If you have one of these phones, you will need to order a different analog phone from IT Voice Services.

If you already have a call display phone, you need to request that CND be added to your telephone service. This is a billable service. You can activate CND by contacting IT Voice Services.

To select a different screen contrast level:

  • Press the Options button
  • Using the cursor pad scroll to Preferences (option 2) and press the Select button
  • Scroll to Display (option 2) and click Select
  • You can make changes to the Contrast Level or select Backlight then click the Advanced button to change the length of time the light will stay on after activity
  • Press the Change button or use the cursor pad and scroll through the various contrast levels.

Live Dialpad Option

When this option is turned on, the phone automatically starts a hands-free call when you begin dialing a number. When off, you must either press the hands-free key, lift up the handset, or press the Dial button to dial the number.

To turn on or off live dialpad:

  • Press the Options button
  • Using the cursor pad, scroll to Preferences (option 2) and press the Select button

VoIP Voicemail is an optional service provided with all campus VoIP telephones. Voicemail allows callers to leave spoken messages which you can retrieve later. The information on this page explain how to access, configure, and use your VoIP Voicemail.

 

Configuring your VoIP Voicemail

The following instructions pertain to using an Aastra 480i or Aastra 57i telephone.

Before using your telephone for the first time, you need to log in, record your name, change your away message, your busy message, and your voicemail password. There are five options under Mailbox Options available for recording your unavailable message, busy message, name, temporary greeting, and for changing your password. To access these Mailbox Options, press 0.

To record your Unavailable Message:

  • Press 1
  • Record and press # to finish
  • Press 1 to accept the recording
  • Press 2 to listen to the recording
  • Press 3 to re-record the message

To record your Busy Message:

  • Press 2
  • Record and press # to finish
  • Press 1 to accept the recording
  • Press 2 to listen to the recording
  • Press 3 to re-record the message

To record your Name:

  • Press 3
  • Record and press # to finish
  • Press 1 to accept the recording
  • Press 2 to listen to the recording
  • Press 3 to re-record the message

To record your Temporary Greeting:

  • Press 4
  • Press 1 to record your temporary greeting
  • Record and press # to finish
    • Press 1 to accept the recording
    • Press 2 to listen to the recording
    • Press 3 to re-record the message
  • Press 2 to erase your temporary greeting

To change your Password:

  • Press 5
  • Type in the new password and # to finish
  • Repeat to confirm

 

Accessing VoIP Voicemail

You can access your voicemail messages from your Aastra VoIP phone, from another telephone, or via a web browser:

From your Aastra 480i or Aastra 57i telephone set in your office:

  • Press the Voicemail softkey on your phone
  • Enter your password

From any telephone:

  • Dial 403-210-7721
  • When asked for the mailbox number, enter your phone number
  • When prompted for your password, enter your password

From your web browser:

 

Using your VoIP Voicemail

Once logged into your VoIP voicemail, you can access new messages, change folders and access advanced options. The following is a guide to navigating the menus on the phone.

To access new messages:

  • Press 1
  • Press 3 to go to Advanced Options
  • Press 5 to Repeat the Message
  • Press 6 Listen to the next message
  • Press 7 to Delete/Undelete the current message
  • Press 8 to Forward the current message
    Note: Users can only forward the message to another Asterisk user’s mailbox (I.e. Someone else with an IP phone)
  • Press 9 to Save the current message
  • Press * for Help
  • Press # to Exit

To change folders:

  • Press 2
  • Press 0 for the New Messages Folder
  • Press 1 for the Old Messages Folder
  • Press 2 Work Messages Folder
  • Press 3 Family Messages Folder
  • Press 4 Friends Messages Folder

To access advanced options:

  • Press 3
  • Press 5 to leave a voicemail (note: this person must also be on the asterisk PBX)
    • Enter the phone number when prompted
    • Leave your message
    • Hang up or press # to return to the main menu
